Appointment Cancellation & Rescheduling Policy

We reserve your appointment time exclusively for you. We do not double-book. When an appointment is missed without notice, our practitioners lose the opportunity to help another client.

1. Notification Window
We require 24 hours' notice for any cancellation or rescheduling.

2. Cancellation Fees (Fair Usage)

  • More than 24 hours notice: No Charge.
  • Less than 24 hours notice: 50% of the session fee. (This covers our basic overhead and practitioner time allocation).
  • No-Show (Failure to attend without notice): 100% of the session fee.

3. The "Compassionate Exception"
We understand that emergencies (sudden illness, accident, extreme weather - Black Rain/T8) happen.

  • First Occurrence: We may, at our discretion, waive the fee or apply it as a credit to your next session if you rebook immediately.
  • Repeated Late Cancellations: Strict adherence to the fee policy will apply to ensure fairness to all clients.

4. Late Arrivals
If you arrive late, your session will still end at the scheduled time to respect the next client. Full session fees apply.

5. Note
Not receiving a reminder is NOT an acceptable excuse for missing an appointment.  The reminders should be considered a “bonus” to keep you on track with your schedule and should NOT be relied upon as your sole method of knowing your appointment.

Student Rules and Guidelines

To ensure a safe, professional, and welcoming environment, all members must adhere to the following rules and regulations:

General Rules:
1.The Awareness Wellness Resources Training Centre (hereinafter called “AWRTC”) provides facilities for its members (hereinafter called “Member”) and authorized persons only. Users of the AWRTC must be 16 years old or above and physically fit to use the facilities. AWRTC and its staff accept no responsibility for any death, injury, loss or damage of users’ property arising from use of the facilities.

2. Upon application for membership, applicants must complete a Membership Application Form based on true and correct personal details. AWRTC reserves the right to suspend, terminate or refuse any new or renewal membership application at its sole discretion without prior notice.

Common Conduct:
1. Respect & Professionalism – Treat all staff, students, and visitors with courtesy. Harassment, discrimination, or aggressive behaviour will not be tolerated.
2. Punctuality – Arrive on time for seminars, classes, and workshops.
3. Cleanliness – Maintain personal hygiene and clean up before and after using facilities.
4. Quiet Atmosphere – Keep noise levels low to maintain a peaceful environment. Avoid loud conversations in relaxation areas.

Facility Usage:
1. Membership & Access – Only registered members or guests with prior approval may use the facilities.
2. Equipment Safety – Use equipment properly and report any malfunctions immediately.

Health & Safety:
1. Medical Disclosure – students must inform instructors of any injuries, medical conditions, or pregnancy before sessions.
2. Proper Attire – Wear appropriate workout clothing and footwear. No shoes allowed and must wear socks in the venue.
3. Injury Prevention – Follow instructor guidance to avoid overexertion or improper technique.
4. Emergency Protocols – Familiarize yourself with emergency exits, first aid kits, and staff assistance procedures.

Booking & Cancellation Policies:
1. Registrations must be made in advance (online or at the front desk).
2. Upon registration, course fee is non-refundable.
3. Course fee is valid for an approved one-time transfer only to another time span or course within 6 months.
4. Refund only in the event that the centre is not able to offer a class within 6 months.
5. AWRTC Ltd reserves the right to cancel any course due to unforeseen circumstances. In such an event, tuition paid will be refunded.
6. For classes that provide A/B class schedules (Classes that repeat at different times or days of the week), students are requested to register at the selection of “A” or “B” class sections. Students could apply to the centre management for attending makeup sessions at the alternate schedule when necessary.

Prohibited Actions:
1. Smoking/Vaping/Alcohol – Strictly prohibited on premises.
2. Unauthorized Photography/Recording – Respect privacy; no photos/videos without consent.
3. Misuse of Facilities – Equipment improperly moved or used in unintended ways is strictly prohibited.
4. Solicitation – No promotion of external businesses without management approval.

Code of practice in times of adverse weather and extreme conditions:
1. When Tropical Cyclone Signal Pre-No. 8 Special Announcement is issued in the morning before the opening hour, all activities will be postponed until further notice.
2. When Tropical Cyclone Signal No. 8 or above is issued, the centre will be closed.
3. When a Black Rainstorm Warning signal is issued before opening hour, all activities will be postponed until further notice. And if such signal is issued during business hours, the centre will remain open.
